Call My AI ("we", "us", "our") is an AI phone-receptionist and CRM service for trade businesses, operated by Dr Mick Tree Surgeon. This policy explains what personal information we collect, why, and how it's handled — both for the business owners who subscribe to Call My AI, and for the people who call, message or submit a form through a business using it.
From subscribing businesses: name, business name, email, phone number, billing details (handled by our payment processor — we never see or store full card numbers), calendar and service-pricing information you provide during setup.
From callers and website visitors of a subscribing business: phone number, name, and whatever is said or submitted during a call, SMS conversation, quote-calculator request or website widget enquiry — including a call recording, an AI-generated transcript, and a summary of the outcome.
Automatically: basic usage and device information when you visit our website (e.g. via Google Analytics or Meta Pixel), used only to understand how people find and use the site.
We use a small number of trusted service providers to run Call My AI, each of which only receives what it needs to do its job:
We do not sell personal information to anyone, and we do not share caller data between businesses using Call My AI — each subscriber's CRM and call history is kept separate.
We retain call transcripts, CRM records and account information for as long as a business's subscription is active, plus a reasonable period afterward for legal, accounting and dispute-resolution purposes. A business owner can request deletion of their account data at any time (see Section 6).
We use industry-standard measures — encrypted connections, access controls and reputable third-party infrastructure — to protect the information we hold. No system is completely immune to risk, but we take reasonable steps to keep data secure and limit access to what's needed.
If you're a subscribing business, you can access, correct or request deletion of your account data at any time by contacting us. If you're someone who has called or messaged a business using Call My AI and want a copy of, or the deletion of, your own call or contact record, contact us or the business directly and we'll assist.
Some of our service providers (including Twilio, OpenAI and Stripe) process data outside Australia, including in the United States. Each of these providers maintains its own data protection safeguards; by using Call My AI, you consent to this transfer as part of the service functioning.
We may update this policy as the service evolves. Material changes will be reflected here with an updated date at the top of this page.
