Call My AI (“we”, “us”, “our”) is an AI phone-receptionist and CRM service for service businesses, operated by Call My AI (ABN 75 460 094 579), and any successor to that business (see section 10). This policy explains what personal information we collect, why, and how it’s handled — both for the business owners who subscribe to Call My AI, and for the people who call, message or submit a form through a business using it.

1. Information we collect

From subscribing businesses: name, business name, email, phone number, billing details (handled by our payment processor — we never see or store full card numbers), and calendar, team and service-pricing information you provide.

From callers and website visitors of a subscribing business: phone number, name, and whatever is said or submitted during a call, SMS conversation, quote-calculator request or website widget enquiry — including, on plans that include call recording, a call recording, plus an AI-generated transcript and a summary of the outcome. Calls turned away by a business’s call-screening rules are logged with the number and reason.

Automatically: basic usage and device information when you visit our website (e.g. via Google Analytics or Meta Pixel), used only to understand how people find and use the site.

2. How we use it

  • To answer calls and messages on behalf of a subscribing business, and to book, quote or log the enquiry accurately
  • To maintain the CRM records a business uses to manage its own customers
  • To send the business owner a notification (email and a short SMS with a link to the transcript) after each call
  • To process subscription and usage billing
  • To provide customer support, including our AI support assistant
  • To improve the accuracy and reliability of the service

3. Who we share it with

We use a small number of trusted service providers to run Call My AI, each of which only receives what it needs to do its job:

  • Twilio — carries phone calls and SMS messages, and stores call recordings
  • OpenAI — powers the AI voice conversation, transcription and text assistants
  • Stripe — processes subscription payments (we never see full card details)
  • Resend — sends our emails (notifications, transcripts, quotes and invoices)
  • Vercel, Fly.io and our database provider — host the application and voice service and store data (our database is hosted in Singapore)
  • Netlify — hosts our website
  • Google Calendar — only if a business owner chooses to connect it

We do not sell personal information to anyone, and we do not share caller data between businesses using Call My AI — each subscriber’s CRM and call history is kept separate. We may also disclose information where the law requires it.

4. Data retention

We retain call transcripts, recordings, CRM records and account information for as long as a business’s subscription is active, plus a reasonable period afterward for legal, accounting and dispute-resolution purposes. A business owner can request deletion of their account data at any time (see section 6).

5. Security

We use industry-standard measures — encrypted connections, access controls and reputable third-party infrastructure — to protect the information we hold. No system is completely immune to risk, but we take reasonable steps to keep data secure and limit access to what’s needed. If a data breach is likely to cause serious harm, we will notify the people affected and the regulator as the law requires.

6. Your rights

If you’re a subscribing business, you can access, correct or request deletion of your account data at any time by contacting us, and you can delete your account from Settings in the app. If you’re someone who has called or messaged a business using Call My AI and want a copy of, or the deletion of, your own call or contact record, contact us or the business directly and we’ll assist. If you are unhappy with how we have handled your information, contact us first; you can also complain to the Office of the Australian Information Commissioner (oaic.gov.au).

7. International data transfers

Some of our service providers (including Twilio, OpenAI, Stripe and Resend) process data outside Australia, including in the United States, and our database is hosted in Singapore. Each of these providers maintains its own data protection safeguards; by using Call My AI, you consent to this transfer as part of the service functioning.

8. Mobile app permissions

The Call My AI mobile app (Android/iOS) can ask for three device permissions, all optional and only used for features you choose to use:

  • Contacts — used only if you tap “Import from your phone” in the CRM. Your device contacts are shown to you inside the app so you can pick which ones to add; nothing is uploaded to our servers unless you select it and confirm the import.
  • Microphone — used only if you tap the record button in the in-app support chat, to send a voice note to our AI support assistant. It is not used to record phone calls, and does not run in the background.
  • Camera — used only if you choose to photograph a receipt under Reports, so it can be read automatically and added as an expense. You can also pick an existing photo instead of using the camera.

You can deny or later revoke any of these permissions in your device settings; the rest of the app continues to work normally without them.

9. Call recording

On plans that include call recording, our AI receptionist tells callers at the start of the call that the call may be recorded for quality and training purposes. If you are a caller and do not want to be recorded, you can say so or end the call and contact the business another way.

10. Changes to our business

If our business is sold, merged, restructured or moved into a different legal entity, or we change our name, the personal information we hold may be transferred to the successor, which will use it only as described in this policy. We will let subscribers know by email.

11. Changes to this policy

We may update this policy as the service evolves. Material changes will be reflected here with an updated date at the top of this page, and subscribers will be told by email.
